Every family that stays is fees the school has already won. Every family that quietly leaves is revenue it has to win again. Here’s why parent communication is a revenue question, and what parents should be seeing in the year before re-enrollment.
Losing some families every year is normal. NAIS, the US association of independent schools, puts the median attrition rate among its member schools at around 8%. International schools carry an extra layer that most domestic schools don’t: international families move away due to a change in parent’s postings when a contract ends. That part is outside a school’s control. The part worth worrying about is the rest.
When departing families are asked why they left, communication comes up more often than schools expect. In a 2025 survey of families presented at BETT Brazil:
- 19% of those who left a school cited a lack of communication and transparency
- 18% cited limited openness to dialogue with school leaders
- Financial reasons topped the list, but retention specialists have long noted that “financial reasons” often means something closer to “we stopped seeing the value.”
Families leave after a year of small silences: the absence they heard about too late, the report that arrived without context, the invoice that turned up before any sign of progress. Each one lowers the value a parent sees in the fee.
What a lost family actually costs
Attrition usually gets discussed as a percentage. It’s easier to act on as a number. A family that leaves in Year 3 doesn’t just take one year’s worth of fees with them – they take away the admissions time spent on this family and marketing additional spend it takes to fill the seat again.
To illustrate this:
| Number of students | 300 |
| Average Annual Fee | USD12,000 per student |
| Each 1% of attrition | 3 students |
| Total Fees lost that year | USD36,000 |
| Over four (incomplete) remaining years | USD 144,000 |
Take a school of 300 students with average fees of USD 12,000 a year. Every 1% of attrition is three students, or USD 36,000 in fees in a single year. If those families would otherwise have stayed four more years, that’s USD 144,000 of revenue the school had already won once and now has to win again.
This is why parent communication should belong on school’s agenda. Reducing avoidable attrition is the cheapest growth a fee-paying school has.
Value is what parents can see
Parents judge a school on what they can see, and most of the school day is invisible to them.
Teaching happens behind a classroom door. Progress lives in a markbook they never open. Care shows up in a teacher’s observation that never leaves the staffroom. If none of it reaches the family, the fee is paying for something they can’t see.
That’s the case for a parent app as a retention tool. Not another channel to manage, but the one place where the school’s work becomes visible to the people paying for it. And it only works if parents actually use it.
See the Schooly Parent App in action, from the first tap to the end-of-term report, in our short walkthrough video.
Day One
Up and running in their own language
The school sends one link. The parent clicks it, sets a password, and the app opens.
Parents then choose their preferred language so they can use the app from Day 1: English, Spanish, Portuguese, Russian, or Thai. Parents can now comfortably read the school’s messages, being fully part of the school community.
Every Morning
Child’s Safety assured
When a teacher marks a student absent, the parent is notified straight away. A parent who hears from the school the same morning trusts that the school has a grip on their child’s safety. A parent who finds out a week later starts wondering what else they’re missing.
Every Week
Conversations now go both ways
Parents reply to teachers directly in the app. It’s logged and professional, with no personal phone numbers shared and no WhatsApp groups to mute. Openness to dialogue is one of the things departing families say would have changed their minds.
Every Month
Parents can now plan ahead
The full school calendar sits in the app, from term dates and trips to sports days and parent evenings. When dates change, parents see the latest version without having to call or email the office to check, so they can plan work and family life around the school year with confidence. RSVPs, consent forms, and consultation bookings happen in the same place, in a few taps. A school that respects parents’ time is easier to stay with.
Throughout the Term
Get good news, not just the incidents
With Behaviour & Conduct, staff log positive moments as easily as incidents, and can parents see both! A notification that their child was recognised for helping a classmate says more about a school’s culture than any prospectus.
End of Term
Progress parents can see
Report cards arrive in the app and stay there, on any device. Grades flow straight from the markbook, so what the parent reads is what the teacher recorded. The calendar, events, consent forms, and consultation bookings sit in the same place.
Invoice Day
No surprises
Invoices and payment history live in the same app as the reports and the messages. A bill that arrives alongside a year of visible progress reads very differently from one that arrives on its own.
Here are 3 things that you can do before your next re-enrollment window:
- Find out why families really left
Hold short exit conversations with this year’s leavers and sort the reasons into what you can and can’t control. A relocation isn’t a communication problem. “We never really knew how she was doing” is. - Audit what a parent sees in a normal month
Pick a family at random and list every message they received last month, across email, WhatsApp, paper, and portals. If that’s hard for you to piece together, it’s harder for them. - Put the evidence of value where parents already look
Attendance, progress, positives, and teacher messages should reach parents in one place, in their language, with no effort on their part. That’s the job the Schooly Parent App is built to do.
Re-enrollment is when families make the decision. The year before it is when they gather the evidence. Schools that make their work visible every week don’t have to win families back when the forms go out. They never lost them.
